Deciding when to let go of your children’s toys

If you have little ones in your life, you might also have a not so little situation known as toy clutter. Letting go of toys can be difficult because you may be considering passing them on to younger or future children or you might think that reducing the number of toys means that you’re depriving your children of enjoyment and learning experiences. You don’t have to be a parent to experience this dilemma. If you’re a grandparent or family member who often has kids stopping in for quick (or long) visits, you will likely need to determine what to do with an overabundance of toys.

How do you decide when it’s okay to let toys go? There isn’t a super hero to swoop in and take away toys that are no longer needed, nor are there flashing signals to let you know the exact moment when it’s time to let go of a toy. But, over time, you’ll begin notice whether your children’s interest in specific toys increases or wanes.

To help you recognize when it’s time to part with some of their playthings:

Oberserve your children during play time

When I was a teacher, I spent a good amount of time observing the children in my classroom. This helped me create lessons that suited their learning styles. Though interacting with them gave me lots of insight, I found that simply observing them when they were “in the moment” helped me to get to know them better. To truly discover the types of toys that your children love (or don’t love), you’ll likely need to do this as well. That doesn’t mean that you need to spend an entire hour with a clipboard in hand ready to jot down what you see. There will be plenty of opportunities for you to figure out which toys they reach for often and which one they don’t pay much attention to. Those that are not as interesting to them anymore are great candidates for donation. And, you can then decide which specific toys you’d like to introduce them to.

Look for toys that do similar things

I once worked for an organization where the motto was, “Each child is unique, precious, and unrepeatable.” Toys on the other hand, are not necessarily unique. You may have duplicates or several that function in extremely similar ways. As I mentioned before, your children will let you know which are their favorites based on their typical play habits. This means you can easily donate or give away the ones they don’t play with often.

Swap toys in/out regularly

Limiting the number of toys that your children have to play with will help you get a better sense of their likes and dislikes, and give them ample opportunities to play with specific things. Having fewer toys to focus on can be less overwhelming for them and they can get on with the business of fully learning about each one (rather than bouncing around from item to item). Rotating toys in and out will also stop them from taking over adult spaces and will make it easier to unclutter and maintain children’s areas in your home.

Once you’ve determined which toys your children no longer play with (and which ones you’ll keep in rotation), you can do a toy swap with friends or donate gently used items to a local family shelter. There are also several organizations, like Goodwill, Loving Hugs, and Second Chance Toys, that will accept used toys that are still in good condition.

Has your motivation left you? Four ways to win it back

January is the National Association of Professional Organizers’ Get Organized Month. The timing makes sense as many people tend to be focused on resolutions, goals, and ambitions at the beginning of the year. But, in addition to the calendar year changing, holidays, your birthday, and even the change in seasons are great times to focus on the things you’d like to accomplish and begin implementing a plan of attack.

Still, even with the best intentions, you might find yourself struggling to stay in touch with your usually motivated self. You didn’t mean for things to end up this way, they just did. In fact, you most likely started out with an abundance of enthusiasm. You were in sync with the part of yourself that was feeling particularly inspired. And, then one day you realized that you sort of drifted apart. You started putting those important goals aside until you didn’t feel like doing them anymore. Your motivation simply got up and left.

For most of us, the break up with the positive feelings that keep us pushing toward a goal is not uncommon. We even know when it’s going to happen. A new study conducted by Andrea Bonezzi, assistant marketing professor at New York University’s Stern School of Business et al. appears to back this up:

Whether you have a business goal of increasing market share, hope to lose 20 pounds, or have vowed to read Moby Dick, you may have noticed that somewhere around midway to your goal, motivation wanes … this sort of fourth-inning slump is a common, predictable pattern.

The author goes on to say that if your starting and ending points seem very distant from each other, you’re likely to “lose motivation to keep working toward that goal.” What should you do if your motivation deserts you? Though you might be feeling the burdensome weight of a (seemingly) irreparable relationship with your formerly motivated self, there are specific actions you can take win your motivation back.

The first step, of course, is to recognize that feeling less eager to complete a task may very well happen. Life’s little (and big) adventures can sometimes leave you feeling discouraged. But, since you know this ahead of time, you can:

Make a solid plan

By now, you’ve read some of our posts that suggest you break your goals (especially the big, hairy ones) into manageable, attainable chunks. To fortify your resolve and keep moving positively toward your goal, why not also include mini trophies for each milestone you reach or task you accomplish? Knowing that you have something to look forward at various points in your journey can help you stay motivated. You might choose to have different rewards for small steps and a large one when you’ve reached the finish line.

Join a program or support group

Think you need a bit more support to get your motivation back even though you have a well crafted plan? There is truth to there being strength in numbers, so consider seeking the support of others. You may want to take a look at Peter Walsh’s 31 Days to Get Organized challenge. He has been sharing daily organizing tips on his Facebook page ranging from getting control of kids toys to tackling paper piles. Since many of his tips are recorded, you can watch them whenever you need to on YouTube. Use resources that you’ve had success with in the past

If you’ve ever read a book or blog post or even listened to a podcast that left you feeling ready to conquer your projects, dust them off and give them a second look. Chances are, if they worked for you in the past, they’re likely to work for you again. Of course, you can check out some of our previous posts on what to do when you just don’t feel very inspired. You can also hop on over to the Unclutterer Forum to share your experiences.

Take something off your plate

I’ve discovered that sometimes my motivation goes on walkabout when I have said “yes” one time too many. I want to be helpful, but more than that, I want to make sure that when I do say yes, I can do my absolute best. Feelings of being overwhelmed and stressed can increase when you feel pulled in too many directions. Take a look at your responsibilities to see if there is something you can share or pass on to someone else entirely. You’ll breathe a little easier and will probably start feeling more positive.

Though you may not feel as enthusiastic about your goals as you did at the outset, don’t give up. Revise your plan and look for ways you can keep your spirits and motivation high.

Five ways to successfully manage interruptions at work

Would you be surprised to learn that when you are distracted while working, you can make mistakes when you get back to your intended task? The results of a study by the Journal of Experimental Psychology found that you also have a greater chance of “resuming at a different point in [your] train of thought” then if you had not been interrupted. Perhaps the most telling thing the researchers discovered is that even quick interruptions of less than three seconds made participants more likely to make a mistake.

They reported:

… when their attention was shifted from the task at hand for a mere 2.8 seconds, they became twice as likely to mess up … the error rate tripled when the interruptions averaged 4.4 seconds.

Interruptions seem to be a part of everyone’s daily work life and they can come in a variety of forms: a request from a colleague, a phone call from a client, or even your own desire to do something other than what you’re supposed to be doing. All of these moments stop you from fully focusing on your important tasks. It’s not that those other things may not also be worthy of your attention. They very well may be, but when you attend to them is essential to how productive you can be.

Since shifting your focus even for short periods of time has a direct effect on the quality of your work, it makes sense to:

Figure out what your regular interruptions are

Are there interruptions that happen frequently during your day? Do specific people continually seek your attention causing you to pause what you’re doing? Do you respond to all phone calls and emails immediately? Take a few minutes to jot down all the things that tend to take your focus away from your intended tasks.

Come up with a game plan

No matter what the interruptions are, you can thwart them with a strategic game plan. Create a time plan so you can manage your tasks. By doing this, you’ll be able to set realistic timeframes for working on your to-do’s and setting your schedule accordingly.

Share your calendar with others. Make your schedule available to colleagues so they’ll know when you’ll have time available to meet or talk with them. You may still get interrupted, but hopefully your colleagues will begin to request your attention when they know you’re not otherwise occupied.

Use friendly, but direct reminders. When you do get interrupted, consider using statements such as:

  • “I’m working on a project that is making my brain spin and requires a lot of focus. Can we meet this afternoon at 3:00 to discuss your matter in detail? I’ll be much more helpful to you then when my mind isn’t filled with this project.”
  • “Unfortunately, I’m swamped today finishing project X so we can meet the deadline. I won’t be able to help today. Have you talked to Sally? I know she has been interested in getting involved in a project such as this.”
  • “I’d like to help, but if you need an answer today, I’ll have to to say no.”

You can also post a sign on your office door (if you have one) or cubicle panel, and you can even wear one. When I worked in the corporate world, my workspace was in a highly trafficked area and it wasn’t unusual for someone to tap me on the shoulder with a request. Since I didn’t have a door that I could close, I sometimes wore a sign that said something like: “I’m not here. I’ll back at 3 pm.” Of course, I explained to others in the office what I was doing so that they wouldn’t be caught off guard or be put off by my sign.

Control self-imposed distractions. Remove the temptation to share your attention with unimportant activities by turning off email notifications, silencing your phone, or forwarding your calls to voicemail or another person. You can also use a browser extension like Leechblock to block your favorite websites while you work on your most important projects.

Stop interruptions before they happen

Planning ahead is a great way to limit distractions before they occur. Is a teammate, project manager, or client waiting on information from you? If the next action lies with you, consider completing it ahead of schedule — before they contact you with a reminder. This is a win-win solution for everyone and you’ll be rewarded with a solid block of focused time. Additionally, you can be proactive and keep others up-to-date with your project by communicating with them first, and on your schedule. When others are well-informed of your progress, they won’t interrupt you to see how you’re doing.

Use strategies to help you get back on track

Whether you need to take a phone call or reply to an urgent email, try to keep your time away as short as possible. And, think about writing down your thoughts before you stop working so you have a frame of reference for when you return. You could leave yourself a note with your voice recorder or you can type in your last train of thought directly in the document you’re composing.

When possible, go to another location

If you find that you’re getting an influx of interruptions, find a different workspace (if possible). Pick an alternate location that allows you focus and get stuff done (library, local cafe, co-working office, conference room).

Front-load important information in your communication

A friend recently reposted the following job listing on his Facebook wall, hoping his friends would refer qualified candidates for the position:

Government affairs firm seeks administrative/executive assistant for firm’s Senior Partner. Main responsibilities will include organizing travel and schedule for Senior Partner, managing correspondence on his behalf, and other as-needed tasks at his request. Other responsibilities will be related to office management and will involve simple bookkeeping. The ideal candidate will be detail-oriented with strong communication and computer skills. Knowledge of Capitol Hill preferable. Spanish fluency required. Please send cover letter and resume to…

As I read through the post, several names immediately came to mind…at least until I made my way to the penultimate sentence which indicated the position required fluency in Spanish. That job requirement obviously restricts the pool of qualified applicants considerably.

Imagine the amount of time collectively wasted by thousands of non-Spanish-speaking job seekers reading almost the entire listing before realizing they were unqualified for the position.

If the person who wrote the listing had included any non-negotiable requirements in the first or second sentence, then it would have given any unqualified job seekers an immediate cue that they could stop and skip directly to the next post. Here is how a revised listing might have read:

Government affairs firm seeks administrative/executive assistant fluent in Spanish for firm’s Senior Partner. Main responsibilities will include organizing travel and schedule for Senior Partner, managing correspondence on his behalf, and other as-needed tasks at his request. Other responsibilities will be related to office management and will involve simple bookkeeping. The ideal candidate will be detail-oriented with strong communication and computer skills. Knowledge of Capitol Hill preferable. Please send cover letter and resume to…

By front-loading important information — whatever it may be — you show respect for other people’s time by giving them the ability to make an early exit. Unless you’re M. Night Shyamalan, this principle can probably be applied to all your writing. It can also be applied to voicemails, where if the person didn’t get your telephone number upon first listen he can go back and only listen to the first few seconds of it again to retrieve what he needs.

Will having less stuff make you happier?

Can you be too neat and organized? Is it possible that you could be so good at uncluterring that your life becomes devoid of things that are meaningful to you? These are the questions that first popped into my mind as I started listening to an NPR story about Lisa Perry, a woman who decided to sell, in her words, “virtually everything I own.”

As she described her reasons for making this very big change in her life, I began to understand why she (or anyone else) might pursue this possession-less path. Her decision to let go of almost all her belongings was really about taking a journey, about embarking on a process that would allow her focus her gaze forward.

She explained:

… it’s not about getting rid of things that I don’t want or I don’t like or [that] remind me of bad things. It’s really about who do I want to be and what makes me happy, and keeping the things with me that will allow me to do that. And, right now, it’s moving forward and looking forward, rather than looking back at what I’ve done … where do I want to go and what do I want to be.

Perry began this process by identifying her primary goal: to be happy. She came to this realization and was inspired to make changes after reading two books, The Art of Happiness and The Pathfinder. The latter, in particular, helped her to see that as the number of things she accumulated increased, her life — her vitality — became smaller.

Selling everything one owns on eBay may seem a bit extreme and you certainly don’t have to follow in Perry’s footsteps. However, if you see happiness as an end goal and desire a more fulfilled life, it might be a helpful exercise to think about what specifically would make you truly happy, and to decide on the necessary action steps. You don’t need to part with items that resonate with you nor do you have to live in museum-like home. However, if having a welcoming and more uncluttered abode would contribute to your happiness, begin developing a step-by-step outline that will help you to accomplish that. Instead of randomly keeping or acquiring things, first consider their true value to you. Figure out if you’re holding on to things because you “might need them someday” or because you feel obligated to keep them because a loved one gave them to you. Be more mindful of the items that you allow to co-exist with you. Consider specific actions you can take that will foster happy feelings (and banish negative ones) in your day-to-day life, no matter how small. Perhaps most importantly, figure out why you feel the need to make changes. Doing this will give your plan purpose and help you to stick with it.

That’s not to say that you can’t make adjustments along the way. If you start to notice that your goals need a bit of fine tuning, take the time to polish them. It’s also likely that you will need to seek out others who can help you bring your plan to life, so don’t be shy about asking for help. And, as I mentioned before, as you go through any uncluttering project, stay focused on the reasons you want to make changes in the first place.

Ask Unclutterer: Products for processing paper

A few weeks ago, a reader asked me if I still stand by the information in our extremely popular 2007 series “Scanning documents to reduce paper clutter” and the three other articles in the paper-begone series. Basically, he wanted to know if I would write the series the same way now that I did then.

Would the fundamental premise of the articles be the same today as it was then? Yes. Would a few specific details change? Definitely.

The most obvious thing I would change is the equipment used to scan and shred the papers we don’t need to retain in physical form. I still love the Fujitsu ScanSnap, but the technology referenced in the article is now about six years old. The ScanSnap line has come a long way since then. Also, I’ve come to adore shredders on wheels because they can be moved around a room to wherever you need them.

The latest model in the ScanSnap desktop line is the iX500 and it’s an impressive machine. I’ve been test driving one the past two weeks (thank you, ScanSnap!) and it’s amazing — it doesn’t require a desktop computer to launch, it will scan straight to a mobile device or an online storage location over Wifi (so I can save straight to Dropbox), it’s noticeably faster than the S1500M model we own, and I’ve been able to customize it to send scans automatically to whatever program I want, so items like photographs now import straight into iPhoto. I won’t upgrade permanently from the S1500M we already have, but if we didn’t have a scanner I would save up for this one. If you’re in the market for one, the list price is $495. They’re expensive, but they’re really nice. (Full iX500 product details.)

As far as shredders go, I’d recommend the Fellowes PowerShred 79Ci now. The thing is a monster at chewing up stuff you want to shred. And, as I referenced earlier, it’s on wheels, which makes it convenient to use and store. It’s also expensive, but the thing will last you a decade or more if you treat it well. Our PowerShred PS-77Cs is still rocking after seven years of service, and we use it daily. Unlike less expensive shredders, the PowerShred line is built to last.

The list of things to shred and not to shred is still accurate, though a lot of people greatly dislike my advice to destroy old passports. I probably should have written more clearly about waiting to shred the old passport until after you get a new one. Submitting your old one does speed up the renewal process. However, once you get the old one back, if you don’t need it for any legal reason, it’s safe to shred (just be sure to pop out the RFID chip first). My last passport, though used many times, didn’t even have a single stamp in it because so many countries have stopped stamping and my old visa had to be relinquished when I left the country that required me to have the visa. If you want to keep old passports, especially if they have stamps in them, do it but please keep it in a safe or safe-deposit box so it doesn’t end up in the hands of identity thieves.

I still use DevonThink to organize my digital documents and FreedomFiler for my paper files (though, I’ve added a ridiculous number of my own files to the FreedomFiler system in the past six years that resemble what I discuss in my book). Those two products have suited me well all this time.

Even with all of these products and systems, paper continues to be something we have to deal with daily in our home. We’ve unsubscribed from as much junk mail as possible, yet we still get some from businesses and services we use. The shredder, trash can, and recycling bin by our main entrance are essential in dealing with the junk immediately and not letting it come deep inside the house. But, the stuff we let in voluntarily — the bank statements, the receipts, the pay stubs, the contracts — still feels overwhelming at times. We’ve gone so far as to unsubscribe from all print magazines and now subscribe to these publications digitally over Zinio. The only way we’ve been able to keep from being overwhelmed by paper is to clear our desks each day as part of our end-of-day work routines. All papers filed, junk shred, receipts reconciled, documents scanned, etc. It only takes five or ten minutes, but it’s still a chore. I’m looking forward to the day when I only have to spend five or ten minutes a week (or less) dealing with paper clutter.

Ten uncluttering tasks you can do in five minutes or less

Do you use a “down time” list? I used one often when I worked in the corporate world. It was a list of things I could work on when I finished my usual responsibilities. Now, several years later, I use a similar list, though it usually has things that I can do in five minutes or less.

One of the challenges many people often face is finding the time to unclutter. Everyone’s busy and has full schedules as well as other things they’d rather be doing. To combat the dread you might be feeling when it’s time to get things in order or to stop the mad dash when you’re looking for something, create a list of things you can get done in just a few short minutes until they become regular habits. To help you get started, consider adding these 10 things that you can do in 300 seconds to your daily or weekly routine.

  • Use hooks. Hooks take very little time to install and they can be used just as quickly. Instead of putting your clothes on a chair (or other flat surface), hang them on a hook.
  • Purge your hanger stash. Hangers that are laying on the closet floor are not being put to good use. Remove them to free up your space and refuse them when they are offered to you at the store. Most dry cleaners have hanger recycling bins, so give your local dry cleaners a call to see if you can drop off your extras there.
  • Delete unnecessary duplicates. Where can you check for multiples of the same thing? Your smart phone (contacts, apps), pantry, spice cabinet, and closet are great places to look for duplicates you can delete (or donate).
  • Gather your stuff the night before. Put everything you need to have for the next day (keys, wallet, mobile phone, ID badge, glasses, etc.) all in one spot so that you can find them easily.
  • Remove junk mail before it gets inside your house. When you remove junk mail before it gets inside your home or office, you can spend your time focusing on the important items. Keep a recycling bin and shredder near the main entryway of your home for easy junk-mail disposal.
  • Take something with you. Whether you’re in your car or in your home, before you leave an area, take something that doesn’t belong with you and put it away.
  • Organize your wallet. Take a look in your wallet and remove anything that you don’t need to frequently access.
  • Unsubscribe from unwanted junk email. The beauty of unsubscribing is that it takes very little time to have your name removed from emailing lists. Simply click on the unsubscribe link at the bottom of the junk emails you no longer wish to receive.
  • Say no to freebies. Unless that free item (like a gift you get when you make a purchase) is something that you or someone in your family uses regularly, it will likely end up cluttering your space. Of everything on this list, saying “no” to freebies is perhaps the quickest thing you can do.
  • Keep a donation box in your home. A great place for a donation bag or box is inside your closet or laundry area for clothing that no longer fit or flatter you. Donation boxes can work well for other things, like toys, so pick a room, and take five minutes to select things you can give away.

Seven habits and routines that will help you become a more effective unclutterer

Over the last few days, several of our posts have focused on resolutions and ways to achieve the goals you have for 2013. To help you through the process, you may want to arm yourself with additional skills, like what you might find in a book like The Seven Habits of Highly Effective People by Stephen Covey. Though it was published in 1989, it remains a bestseller today because the advice is solid. We thought you might want an uncluttering-specific tool, so in this Covey style, we have created seven habits and routines to become a more effective unclutterer.

  1. Have easy-to-follow uncluttering rituals. Complex routines that have more than three steps can be difficult to keep up with, so create simple routines that are easy for you manage. It’s also important to create a system that works with your current lifestyle. Sometimes it takes a bit of trial and error to find the right type of activities (like getting up 30 minutes earlier to unclutter, keeping a donation box inside your closet) that are not only easy to follow, but also produce the results you’re desiring.
  2. Engage in uncluttering activities regularly. Maintaining a clutter-free environment is an ongoing process that needs regular attention. Otherwise, clutter can build up and quickly take over your space. Add regular uncluttering days to your calendar for a specified time frame (30 minutes each weekday, 60 minutes each weekend day).
  3. Use the right strategies and tools for you. Rather that use a strategy that’s popular at the moment, use techniques that suit your personality. For example, you will need to capture your tasks so that you remember to get them done. If you prefer paper, write your task list in a notebook, but if you’d prefer a digital option, use an app, like

  4. Keep frequently used items accessible. If the items you use often are not easily accessible, putting them back will be a hassle, which means you’ll be less likely to put them away when you’re finished using them. Put those items that you reach for frequently on shelves that you can reach easily and at eye level.
  5. Put things away rather than putting them down. Unclutterers tend to put things where they belong after each use. Doing this reduces the chance of having clutter pile up, and you’ll always be able to find what you’re looking for without having to search for hours on end.
  6. Have a “home” for everything. It will be much easier to put your things away when there is a space already designated for them to be kept. Items that don’t have a home will always be unnecessarily out and about. Instead, have a place for the items you use in the room that you tend to use them (magazines in a basket in the living room, office supplies in the home office closet).
  7. Refrain from making whimsical purchases. Purchases made without much forethought have a greater chance of hanging about your home or office. When you think about the types of purchases you’ll make beforehand, that’s also an opportunity to figure out the proper place to store them. Keep in mind that the fewer things you have, the less you have to maintain and store.

Five things you can do to succeed at keeping your New Year’s Resolutions

As you start creating your New Year’s resolutions and thinking of ways to productively usher in the new year, you might have in the back of your mind some of the challenges you might face. It’s been well publicized how difficult resolutions are to keep, but that doesn’t mean that you should give up on them. The new year presents an opportunity for change and there are particular things you can do to sustain the changes you’d like to make.

Keep a positive attitude

As with any project, you may meet upon a few roadblocks or things you didn’t anticipate. Don’t let these setbacks stop you from moving forward. When compared to the success rate of people who didn’t make resolutions (4 percent), this statistic is remarkable. So, even if there are a few hiccups along the way, keep in mind that you have a very good chance of succeeding.

Build a strong support system

Surrounding yourself with people who can see you through some of the bumps in the road will give your positive outlook extra mileage. An accountability partner can help keep you motivated, will talk through solutions and strategies with you, and celebrate your successes (both large and small). This person will also hold you accountable for the actions you commit to doing. You’ll want to set up regular check-in meetings with your partner so that you don’t lose sight of your next steps.

Part of your support system should include tools that work well with your personality and learning style. While you might have several goals (and be very enthusiastic about achieving them), if you attempt to work on all of them at the same time, this can become very overwhelming, you may lose focus, and all of your goals can ultimately fall off your radar. Focus on ambitious goals over the long-term

BHAGs are not your average goals. They are large and meaty and achieving them can have a huge impact not only on you, but also those around you (those in your inner circle, colleagues, and your community at large). Because of their size, ambitious goals won’t necessarily be completed in 365 days. But, once attained, they can be extremely gratifying because of the effort you put in to getting to the finish line. Since you won’t see immediate results, keep your vision of progress in line with long-term planning. Chip away at your BHAG systematically and routinely and seek support from others so that you can have a better chance at successfully completing it. Go ahead, get excited about your big, hairy goals, but be sure to keep the right perspective.
