Miscellaneous papers can wreak havoc with your filing system

Managing paper is often a reason I’m called in to help clients. They are usually frustrated by growing paper piles and, almost always, there is a Miscellaneous (MISC) file among the piles. The MISC file is like a junk drawer for a diverse set of papers they’re not sure how to process.

When files are labeled MISC, it’s difficult to figure out (and find) what is inside because the label is broad and encompasses several categories. This will ultimately slow you down when you need to retrieve information, and on days when things are hectic and particularly fast-paced, you can quickly get frustrated. So, why are MISC files created so often? Perhaps because it’s easier to put everything in one general file than making more complex decisions. Figuring out what to do takes time and some decision making, like what to keep and what to recycle/shred, what categories to use, and making room for new items.

To banish that catch-all file and make deciding what to do a little easier, follow these steps. Of course, not every system will work for everyone, but this three-step process will at least get you thinking about creating one that will work for you.

  1. Ask yourself a few questions. Before you decide where to put a specific piece of paper, decide if you actually need that piece of paper. Can you access it in some other way (internet, a digital scanned copy)? How long has it been since you last referred to that document? Does the responsibility of storing it still lie with you or does it now belong to someone else or another department?
  2. Determine the next action needed. Once you’ve decided which papers you need to keep, these papers will need a permanent living space (just like everything else in your home or office). Think about the next action that needs to be taken so that you can determine the paper’s category. Do you need to make a follow up call to a client? Pay a bill? Edit a manuscript? Then, you could have folders with the following labels:
    • Current bills
    • To call or Today’s tasks (or add client call to your to-do list instead)
    • Editing or the title of the manuscript

    The names you use will be particular to you and the typical documents you need to keep. Also, consider looking at your existing categories to see if you can find the right match for your papers (then you wouldn’t have to make a new folder or come up with a new category at all).

  3. Use easy-to-remember categories. Putting things in categories actually helps us to remember those items better. This means you’ll be more efficient at finding the files you want when they are grouped by a specific topic that makes sense to you. For instance, you might have a Utilities category in which you put the current telephone, gas, electric, and water bills. Or, a “Blogging” folder for articles that inspire your future posts.

You can really simplify the filing process by removing your MISC folder from your paper filing system. You’ll find that there really isn’t a need for a general file once you have determined the correct category for your papers. And, keep in mind, the less you print, the less you have to file and retrieve. When possible, use online bookmarking tools (like Delicious and Instapaper) and/or tag your documents and save them to your hard drive and/or cloud server so you can find them easily.

What we have been reading

I feel like I have been unintentionally collecting links to great articles recently. I’ll spot something clutter/organizing/productivity-related in the news, immediately think it would make such a terrific topic for an Unclutterer post, save the link to a text file of post ideas, and then do nothing further. Apparently, I want ALL the links for myself. All of them. Mine.

Since this is ridiculous and there is no good reason for me to be collecting all these links and not sharing them, I thought an ol’ fashion link roundup post was in order. Please enjoy all of these links that have been catching our attention:

  • Why aren’t hoarders bothered by all that junk? Scientists find a clue
    This article from NBC looks at a recent brain study by psychologist David Tolin that was published in the Journal of the American Medical Association. According to the research, clinically diagnosed hoarders’ brains respond differently to physical stuff than the brains of the general population. As a result, their ability to make decisions is significantly limited.
  • Three habits that drive down productivity
    I’m still trying to decide what I think about this article from the Memphis Business Journal. The article references a study that analyzes the work product and attendance records of employees with very different lifestyles at three large corporations. The article concludes that healthier people are more productive workers and it specifically names smoking, poor diet, and lack of exercise as productivity killers.
  • Plan of Work for a Small Servantless House (3 or 4 in family)
    After the war in Britain, many homes and estates that once had servants found themselves unable to afford any servants in the house. To help women learn how to keep house, someone (the British government?) published this guide for how a woman should spend her time. My friend Julie introduced me to this page from the I Love Charts tumblr, and I think it is a fabulous look back in time. I’m still confused as to how a woman with one or two children only seems to attend to them for an hour and a half each day “if necessary,” but maybe “servantless” doesn’t include nannies?
  • Re:Re:Fw:Re: Workers Spend 650 Hours a Year on Email
    This article from The Atlantic confirms that most people with desk jobs (referred to as an “office stiff” in the text) spend “13 hours a week, or 28 percent of our office time, on email.” A quarter of one’s job is consumed with reading and answering email. The article also reports that time spent on tasks specific to one’s role at the company only consumes 39 percent of one’s time at work.
  • You Probably Have Too Much Stuff
    This short piece from The New York Times looks at the burdens of being “over-prepared.” I like the use of the phrase “over-prepared” in the article because it so aptly reflects the “I might need this one day” mentality.

As you also know, I’ve been doing some writing for the Women and Co. website lately. Most of what I’ve been writing continues to be about home and office organizing, but they’ve been letting me branch out a bit and pick up some other topics. It reminds me of the days I wrote the Sunday news for the local commercial radio station in Lawrence, Kansas, so very, very, very long ago …

Untidy and organized

Things organized neatly is not me. While I appreciate looking at images of precisely organized spaces, I’ve discovered feeling ashamed of my workspace is detrimental to my work. My office is a living thing, not an exhibit. I’m a stacker. About a year ago, I abandoned the guilt I generated by not maintaining a white glove-ready workspace. In doing so, I’ve relieved some stress, became more productive, and realized that untidy and organized are not mutually exclusive.

The Tidal Wave

Every few months I would succumb to an urge to transform my home office into a museum exhibit. I spent hours arranging my office and finding a home for everything. I called my self a neat person. Neat people are highly organized and productive. They’re intellectual and competent. I am one of those people.

Within a week, the piles returned, as did the guilt. Clearly, I’m not one of those tidy, on-top-of-things people.

Evidence, Not Enemy

When I finish a day’s work, I look at my Mac’s desktop. Screenshots, photos, snippets of text, emails and so forth fill the screen, strewn here and there. Before I throw it all way, I consider the jumble. That’s the evidence of a day’s work.

So is the stuff in my office.

I pulled ideas or reference material from those books. The photos reminded me of something or someone I love (like my kitchen from my childhood home in Scranton). The papers hold all sorts of goodies — contracts I’ve signed, drawings from the kids, numbers I’ve called, arrangements I’ve made.

This is the evidence of my work. Some would put the book on a shelf after reading. I’d rather simply put it down and start writing. I like the photos where they are so I can reference them anytime. I work hard, and this stuff is a part of the result.

Untidy and Organized

There’s a very important distinction to make here. Namely, the huge difference between processed and unprocessed stacks. A random pile of stuff that contains items you can’t even identify is not acceptable. I’m not condoning an amorphous heap of who-knows-what, nor should your office become a huge inbox.

Everything in my office has been processed and assigned an appropriate home. That is to say, I look at every item and ask myself:

  1. What is it? A task? A project? Trash or reference material?
  2. What must be done? File it? Toss it? Add to a project or task list?
  3. Where does it live? A folder, cabinet, desk, etc?

Once I’ve determined the answer to each question, I act accordingly. That way, everything is where it ought to be. Even if its home is a small pile on the corner of my desk.

Well Enough

How precisely organized should I be? Enough to pass a white glove test? No. That’s not going to happen, and imposing that ideal on myself is actually counter-productive. So, I stay organized enough to achieve my goals. Today, I achieve what I’m after, stacks and all. I’m okay with it. I have things I love around me, like photos, drawings and Disney Vinylmations. It’s working and, more importantly, I am.

When I was younger, my grandmother’s house was kept like a museum. It was gorgeous and sterile. My office is a working space. Stuff gets done, and dust is raised. Detritus is strewn about. Like a potter who goes home with clay on his jeans, I get messy when I work.

But the result is beautiful.

Ask Unclutterer: Implementing GTD paperlessly

Reader Rachel submitted the following to Ask Unclutterer:

I know you are huge fan of David Allen and after years of “almost” using his GTD system I finally bought the book [Getting Things Done] and am working my way through it. As I prepare for my two day “gather, process and route,” I find myself with some clutter related questions. First some background points:

1. My husband is in the army, so i like to keep everything as modular and portable as possible, 2. I am currently prepping for a move, so I am currently in down-size mode, and 3. I love using my computer.

Okay, now for my questions: David talks a lot about the proper supplies and having a general reference file. I’m kind of resistant to the idea of investing in paper file folders and filing cabinets when there is so much technology and digital recording available that doesn’t take up near the amount of space. What have you found to be the best capture system for your files? Digital or old school?

I would like to start by saying that you’re right in pointing out that I have enormous respect for David Allen. He is able to communicate his ideas about information organizing and productivity better than anyone else writing on these subjects today. This art of communication is a true talent and it is rare. Most importantly it is extremely helpful for those of us looking for guidance and sanity as we work and live. If anyone reading this hasn’t read his books, I strongly recommend them.

That being said (i.e. I’ll stop being an exhuberent fangirl for a moment), I don’t use the GTD system exactly as he prescribes. It’s not that I think his system is flawed or bad or wrong; it just doesn’t completely work for me and my preferences. And, at least in my personal experience, I’ve found that this is the case for most GTD enthusiasts. We gobble up all we can from his advice and then put our spin on it so it will be something we benefit from and use over the longterm.

If you’re like me, a good amount of the information you collect likely comes to you already in digital form or can easily be scanned and/or digitized (images, emails, PDFs, calendar appointments, etc.). To take these out of a digital form during the processing and organizing phases would be a waste of time and resources, and Allen doesn’t advocate you print these out, either. The most important thing to do is to capture this information in a way so you can reliably process, review, and do all the things you need to do to get things done.

I use a couple plugins for my Mac-based email program Mail that are created by the company InDev: Act-On (which let lets you apply rules to incoming messages) and MailTags (which color codes emails with tags). These are nice for adapting GTD processing and organizing actions, as well as helping to creation action items. Even if you didn’t use the GTD system, these are great plug-ins for email management. I incorporate these plugins to work with my personal email filing system, which I’ve outlined in detail in Unclutter Your Life in One Week. In short, I use Archive, Project Folders, and Read Me folders. The Archive folder is where all messages go after I schedule the work on my calendar or in my project management system. The Project Folders are where I stash project-related information until I can move the email to the Archive folder (e.g. where I put Ask Unclutterer emails until I review them and decide which one I will select for the week’s column). And the Read Me folder is for long emails or emails containing links to articles, typically sent from friends or family, that don’t require immediate attention and that I can read in full the next time I’m standing in a line or waiting on hold. Once I read the Read Me emails, they are moved to the Archive folder.

People who use Outlook as their email client might benefit from a GTD-themed add-in from NetCentrics. And, if you’re a Gmail user, I’ve heard good things about using the ActiveInbox plug-in. (A good ActiveInbox tutorial can be found in the article “ActiveInbox Turns Your Gmail Labels Into an Effective GTD System” on Lifehacker.)

As far as my personal to-do list (action items) and calendar, I do keep these in paper form. I like the physical actions of writing and greatly enjoy crossing things off lists. For the past six months, I’ve been using an Arc customizable notebook from Staples for the list and calendar. I’ve tried to do it all digitally, but I always seem to come back to the paper items for these two things. Comfort is a powerful creature. For work, I keep everything in Basecamp so everyone on staff and our clients can see important dates, to-do items, as well as communicate with each other. It’s ridiculously simple to use, which oddly is why some people don’t like to use it. There are hundreds of digital to-do list and calendar programs on the market and a few are probably already installed on your computer — just find one you love and will use and review.

In regards to other digital paperwork (the general reference stuff), I have set up my Evernote account to mirror the GTD workflow. Everything digital is dumped into it and it syncs with all my handheld devices and can be accessed anywhere in the world there is an internet connection. I also back it up to my desktop and back my laptop up to an external hard drive and again to Backblaze (I’m a wee bit maniacal about backing up my data). I save all my documents locally in a document management program (DevonThink), which I’ve discussed recently in “What tools should I use to digitize my paper piles.” If Evernote and DevonThink aren’t your style, check out OmniFocus for Mac and I know many of our readers use OneNote who have the MicroSoft Office Suite (be sure to check out the free, downloadable templates from MicroSoft to save yourself time).

Ask Unclutterer: An entire agency uncluttering project

Reader Lee submitted the following to Ask Unclutterer:

I work at an agency that has about 20 staff. In early July we will be renovating our space and most staff will have to pack up their offices to prepare for the renovations …

Without coming across as militant, how can I help my co-workers through the uncluttering process? I’m forever pointing out that they hold onto things they no longer need. For example, many of the print resources they hold onto are available on-line.

Also:
We have the ability to scan and store documents.
We have a client database where some information can be stored.
We have a pretty good timeline for the packing-up process.
We are renting Frogboxes to pack things into.

Lee, I’m oddly giddy for you and this experience. It’s so rare for an organization to have an opportunity for everyone to unclutter on company time.

The first thing I would do is help your coworkers to learn how to scan documents. If you’re in human resources, you can send out an email inviting everyone to a training session in a conference room and offer snacks (people like snacks). If you’re not in human resources, I’d still hold an information training session for your team. Suggest your boss get everyone lunch and hold the informal training session while you all eat. Even if everyone says they know how to scan documents and file them on the network, simply suggest it’s a refresher course to help speed up the process as they tackle their paper piles before the move. A training session also indirectly lets your coworkers know that the expectation is that they will get rid of some of their paper before the move.

Next, I would set a schedule for everyone on your team (or at the agency, if you’re in HR) to tackle group projects together. If your team shares a group filing system, schedule a two-hour time block when everyone on the team will help to sort, purge, and/or pack these shared materials. By having these set group activities on the calendar, you will be able to train everyone on how to unclutter. As a result, these group experiences can then help to encourage individual behaviors when your coworkers are working on their personal spaces.

Also, I’d communicate that there are a limited number of Frogboxes (such a cool service, I would like to add) and that people will only be able to pack what can fit into the boxes. If you’re in HR, you will know exactly how many boxes each person will get for his office and you can share that exact number. If you’re not in HR, just stay vague and say things like, “since we’re limited in how many boxes we can have to store our personal office items, learning how to scan nonessential documents is valuable.” This isn’t a lie — there is a limit of how many boxes Frogboxes will be providing to your company — you just might be implying there won’t be any exceptions, which there probably will be.

Honestly, I doubt anyone will think you’re a militant since all you’ll be doing is encouraging others to unclutter. As long as you stay positive and offer to help other people, I think your efforts will be well received. Avoid walking around and patrolling your coworkers, as it’s ultimately up to them what they decide to keep and purge. Simply encourage and train and hope for the best.

Start a full-room organizing project with a blank canvas

Earlier this week, our landlord brought in floor layers to pull up the carpet in our master bedroom and replace it with wood flooring. This meant we had to get everything except for the bed frame and mattress out of the room so the flooring guys could work their magic.

Once the crew finished, we moved our dresser, alarm clock, lamps, nightstand, and a bench back into the room. Then, we made the bed, rolled out a new area rug, and stopped moving things back into the space. We didn’t move anything else back into the room because we loved the way it felt with nothing else in there. Without clutter and extraneous furniture, our bedroom felt calm and relaxing again. When talking to each other about the room, my husband and I have used the words refuge and retreat numerous times to describe it. Now, we’re in the process of finding new homes for all the other things that were in the room, such as we moved the hamper to the bathroom, relocated family photographs and books to the bookshelf in the living room, and took a box of charity donations to Goodwill. We were surprised by the amount of stuff that was living in our bedroom that we didn’t want to have in there.

This exercise was a good reminder that there are significant advantages to moving everything out of a space as the first step of a full-room uncluttering and organizing project. When you remove everything, you get to see the bare bones of the room. Additionally, you can bring items one-by-one back into a space to decide if you really want something in that room and be attuned to its presence and its best place. It’s also immediately obvious when a room looks and feels the way you want it to, and you know that everything outside the room needs to be trashed/recycled/donated/relocated because it doesn’t belong in the room.

When you’re uncluttering and organizing a full room, keep these questions in mind once the room is empty:

  • Structurally, does any repair work need to be completed in the room? Do walls need to be painted? Do floorboards need to be cleaned? Do any holes need to be patched or cobwebs vacuumed?
  • What are the purposes of this room? What are my goals for this space?
  • Is the large furniture in its best place? Should the furniture be rearranged?
  • Does all of the furniture need to come back into this space? Why? How does each piece of furniture help me to achieve the goals for this space?
  • Do the decorative elements in this room add or detract from the purposes of this room? Do they inspire me? Do I find them beautiful?
  • Do the other items that are going into this room belong in this room? Is this the best place for these items to live? Do I need these items to meet the goals of this room?
  • Are items placed where I use them? Is there a place for everything, and is everything in its place?
  • Once the room is set, decide if the items that didn’t make it back into the room need to be trashed, recycled, donated, or relocated. Be careful not to let the clutter from one room become clutter in another room.

If you don’t have the space in your home to temporarily hold all the furniture and items of another room, set down a tarp in your yard or driveway and move your things outside (obviously, only do this in good weather). If you’re in an apartment or condo, give your neighbors a head’s up, and then take over the hallway for a few hours. I’ve found that when you use a space outside your home as a temporary holding location, you’re motivated to work quickly and efficiently, which is also a good thing.

The dirty truth about messy offices

For good or bad, people make assumptions about you based on the appearance of your office. If they see a framed picture on your desk of you standing on a beach with two children, they instantly assume you like going to the beach on vacation, you have two kids, and you enjoy being reminded of this vacation while you’re at work. If you have a law school diploma and a state bar association certificate framed and hanging on your office walls, people seeing these items assume you’re a lawyer, who graduated from a specific school, who is legal to practice law in your state.

The previously mentioned examples of the family photo and the diploma both resulted in positive assumptions about you and these items were likely placed in the office to elicit the exact responses they received. The bad side of assumptions based solely on appearances is that people can also come to negative conclusions about you. For example, a consistently messy desk (not one that is disrupted for a few hours each day as you plow through a project, but one that is disorganized, dirty, and cluttered over a prolonged period of time) can hurt you professionally because it gives the impression to your coworkers you’re not a good employee, even if your work product proves otherwise.

On April 13, Businessweek published the article “Clean Your Messy Desk, Lest Ye Be Judged.” The article, as you probably assume based on its title, explains the downsides of having a perpetually messy office. From the article:

… according to a survey of U.S. workers by hiring firm Adecco, 57 percent of people have judged a co-worker based on the state of his or her workspace. A clean desk sends the message that you’re organized and accomplished, while a disheveled one implies that the rest of your life is in a similar state.

Katherine Trezise, the president of the Institute for Challenging Disorganization (you may know ICD by its former name, the National Study Group on Chronic Disorganization) comments on the survey’s findings in the Businessweek article:

Trezise says that a little mess is OK, but that “the problem comes in when it affects other people. Can you do your job? Maintain relationships with colleagues?” If the answer is no, you might need to rethink your habits.

To keep your coworkers from making negative, and probably inaccurate, judgments about your job performance, spend five to ten minutes each day cleaning and straightening your workspace before heading home. Return dirty dishes to the break room, wipe up any spills, process the papers in your inbox, throw away trash, put away current projects to their active file boxes, and set your desk so it is ready for you to work from it immediately when you arrive to your office the next morning. Not only will these simple steps send a positive message to your coworkers, but they will also help you to be more productive. For larger projects, such as waist-high stacks of papers and towers of boxes cluttering up your office, schedule 30 minutes each day to chip away at these piles. Your coworkers will notice your efforts and start to reassess their negative assumptions.

For the rare few of you who work for bosses who believe a messy desk is proof of your competency, I recommend keeping a fake stack of papers on your desk for the purpose of looking disorganized. To create your fake mess: assemble five inches of papers from the office recycling bin and wrap a large rubber band around the stack. The bundling will make the stack of papers simple to pull out of a drawer when you need it to influence your boss, and it will also make sure you don’t get any important papers mixed in with the decoy stack. Think of the stack of papers similar to a potted plant (which, oddly enough, researchers have discovered gives the impression to your coworkers that you’re a team player, so put a single plant in your office if you don’t already have one).

Like most of you, I don’t love that assumptions about job performance are influenced by the appearance of one’s office, but feelings about assumptions aren’t important. If you want a promotion and/or raise, if you want your coworkers and boss to have positive opinions about your work, and you want to give the accurate impression that you value your job and place of employment, then keeping your office organized and clean can’t hurt you in your pursuit of these goals. My opinion is that in this economy you do what you can to keep a job you love, so it’s a good idea to spend the five or ten minutes each day helping yourself in a positive way.

Are you prepared for severe weather and natural disasters?

This week is the first National Severe Weather Preparedness Week in the United States. The National Oceanic and Atmospheric Administration, along with a number of other acronym-identified organizations, started the week to help Americans prepare for floods, tornadoes, hurricanes, major thunderstorms, earthquakes, volcanoes, wildfires, and whatever else nature throws our way.

The first bit of advice they give is to identify what types of severe weather and natural disasters regularly affect your area. USA Today has a nice interactive map that lights up when you select the specific disaster. It’s not a perfect map — it doesn’t identify the Mid-Atlantic as having earthquakes or tornadoes, yet we had both in 2011 — but it’s decent for identifying the most likely disasters to hit a state.

Their second suggestion is to create a disaster kit and an emergency plan based on the disasters that are most likely to strike where you work and live. If you haven’t organized a kit or a plan, check out FEMA’s articles on how to build a disaster kit (they also have a flier with similar information) and how to make a plan to meet up with your family after a disaster strikes. They also recommend getting a NOAA Weather Radio. I noticed recently we didn’t have a single radio in our house, so I ordered one of these for our home. There are many different styles, I liked this one because in addition to batteries it has a crank and a solar panel for alternative energy sources.

The article doesn’t mention this, but it’s also a good idea to have an emergency kit in your car. The kits are small, easily fit into the trunk of your car, and can be life-saving in an emergency. If you don’t want to assemble one on your own, there are numerous kits available for purchase.

With all emergency kits, it is important to maintain them and check them twice a year. If you already have kits, National Severe Weather Preparedness Week is a good time to go through them and make sure all parts are present, in good condition, and nothing has expired. Even though they’re not fancy, emergency kits are extremely useful gifts for graduating seniors.

The Cubby: An uncluttered coat hook

Well designed, superior quality, visually appealing, utilitarian goods that make life more organized and less complicated are the types of products I look for when shopping for housewares and office supplies. I try to only have things in my spaces that, as William Morris so aptly identified as his ownership goals, are beautiful and useful. When I no longer feel inspired by an item or find it helpful, I get rid of it.

I recently stumbled upon a Kickstarter project for a simple device that meets all of my qualifications for making life more organized and less complicated. The Cubby makes traditional coat hooks look like they’re not living up to their potential:

How to manage email when traveling for work

I’m horrible at processing email when I’m traveling for my job. Last month, when I was at the NAPO annual conference, I was once again reminded of my complete inadequacies in this area. I actually thought I had done better this time than usual, but on Monday morning when I sat down at my desk the more than 1,000 emails sitting in my work email account were proof that I had once again failed.

I admitted defeat and immediately sought advice from my friend Nick who works for a hotel chain and travels a good amount for his job. He started by saying, “not gonna lie, it’s tough.”

Want to know what words were oddly comforting to me? It’s tough. If a person who has been on the road a good amount doesn’t have it easy, I guess it makes sense that I wouldn’t have it easy, either.

After talking to Nick, I wrote to more of my friends and eventually posted the following request on Twitter: “Constant work travelers — What are your strategies for processing email when on the road? Share your seasoned advice with me!”

A slew of fantastic advice poured in, and I’m thankful to everyone who responded. Most of the advice identified major themes and philosophies for solving this problem and I’ve summarized this information:

  • Tie yourself to a smartphone. If you want to stay on top of email, you have to keep a smartphone on you. Keep the ringer off and the message alerts set to vibrate.
  • Enable automatic sorting and color coding in your smartphone’s email program. Have a filter that automatically routes all messages out of your inbox and into separate folders where you are copied instead of listed as the main recipient, all newsletters or read-only emails you subscribe to, and all emails from sources you know are not going to be must-respond-now messages. Have your system color code messages from your boss and/or other very important folks so these messages will catch your attention when they come into your main inbox. (If you’re on a Windows-based phone, there are macros and add-ins for Outlook you can install. If you can legally route your work email through Gmail, you can also do this. I was unable to find an app for the iPhone that enables these features.)
  • Check messages during lulls in your schedule. As you wait in the line at the airport, switch between sessions at a conference, or grab a snack, process your priority emails then.
  • Only check work email. If someone needs to contact you about an important personal matter, he/she will text or call you. Check your personal email account on weekends or after you get home from traveling.
  • Only respond to items that can be handled in less than one minute. Delegate as much as possible, delete or archive anything that doesn’t need a response, and only send short messages of less than a paragraph to the priority emails you respond to.
  • Manage expectations. Have an automated out-of-office message enabled on your account that says you will have limited access to emails and no one should expect a response until you are back in the office (be sure to list that specific date). Provide detailed contact information for someone in the office who may be able to handle emergencies, and give that person in the office your cell number so he/she can call you if there is a major event. Also, let your office contact know when you expect to be on flights and/or completely out of connection.
  • Manage more expectations. When you reply to someone from your smartphone, have a “Sent from mobile device, please excuse typos and brevity” signature on the bottom of every message. You might also want to consider posting your return date on your out-of-office message as the day after you return so you have a full day to gather your bearings once you’re back in the office. Under promise, over deliver.
  • Have access to cloud file storage. Not all smartphones allow you to attach documents, so you’ll need to be able to send links to documents stored online with services like Dropbox. If your employer doesn’t allow file posting online and attaching documents to emails is essential to your job, you’ll want to get the smallest, lightest laptop you can because you’re going to have to carry it with you instead of a smartphone.
  • Work on email every night when you get to your hotel room. It will add to your workday, but taking 30 minutes or an hour every night to process the entirety of all your email inboxes and folders will guarantee you don’t have an avalanche of messages when you get back to your office.

I would be remiss if I didn’t mention that two people said responding to email while traveling for work is futile. One said she looks forward to having days free of the email interruptions and only answers phone calls, and another said he just deletes everything and believes if it’s really important the person will resend the email. I can’t imagine following either method, but certainly understand the sentiment.
