Do you need more storage space or fewer things?

Raise your hand if you think you need more storage space in your home. Anyone think that if they just had more storage areas, their home would be easier to maintain? Sometimes I wish my home had more closets, especially a dedicated linen closet. But, I’ve found a way around that and, honestly, I don’t need a separate space to keep towels and sheets, which means it’s probably more of a want and not a need.

Of course, if you live in a small home, your storage options may be limited. You’ll likely have to use tried-and-true techniques (maximize vertical space, use under bed storage, hooks, armoires, etc.) and take advantage of creative solutions, like using multi-purpose furniture or hiding things in plain sight. You might even come up with some unconvential ways to keep your stuff, like using a car or minivan (that isn’t needed for transportation) as storage space.

In a recent blog post over at Extraordinary Observations, Storing Private Stuff in Public Space, the author started giving this some thought. He reasoned that it would be very convenient (the vehicle would be parked close to his home) and when he crunched the numbers, he found that it would be a cost effective option, too. 

… street parking (public space) is used to store automobiles (privately owned things) for little to no cost (it would cost me $35 per year for a residential permit in my neighborhood). Using a van for storage would cost significantly less money than renting a space at one of those self storage warehouses, and it would be a lot more convenient.

It’s an interesting notion and it seems to make sense from a monetary standpoint. For anyone seriously considering this as a solution, another question comes to mind. Why not reduce your stash so that the car isn’t needed for storage? You wouldn’t have to worry about the types of things you could store in your vehicle (since it’s not temperature controlled) nor would you have to be concerned about someone stealing it. With one less spot to maintain, you’d also have less work to do, fewer decisions to make, and more time to focus on other things. And, you’d have the option of selling or donating your car, both of which come with financial benefits.

Though the benefits of living with less are clear, going through the process is not always straightforward or easy, especially when you have to let go of things that you’re emotionally attached to. When faced with the task of uncluttering and downsizing, it’s important to remain focused on the positive outcomes of reducing the number of things you own (particularly if you don’t use or want them). Keep in mind that you can also handpick who receives certain items which can help put your mind at ease. Of course, simplifying doesn’t mean that you have to get rid of everything. You’re simply prioritizing and carefully selecting which items you will bring the most value to your life.

Ultimately, anyone going through this process will need to answer this question: Will a storage unit (of any type) be a regular and permanent part of your life, or would you prefer to find a way to live well with less?

What I carry and how that has changed

Six years ago, I took a photo of the things I carry around in my pockets every day. I hadn’t thought of that picture in ages, and was surprised when I found it while browsing old photos. Today, some things have changed, others haven’t. To satisfy my curiosity, I compared that photo to what I carry with me today. Here’s what I found:

In 2007, I carried:

  1. Keys with a LEGO Chewbacca keychain
  2. A 512MB flash storage
  3. Pilot G2 05
  4. Pocket sized Moleskine notebook
  5. Wallet
  6. Original iPhone with earbuds (fitted with Griffin Earjams, which are no longer available, unfortunately)

Compare that to what I carry today:

  1. Field Notes Brand notebook
  2. Fisher Space pen
  3. Wallet
  4. iPhone 4S

It’s interesting to note what’s missing, and what’s been replaced. For example, online storage offered by services like Dropbox, Box.net and Apple’s iCloud have replaced the flash drive. When I carried that in 2007, “the cloud” didn’t exist as we know it today. Moving files between computers or locations often meant physically carrying it from place to place.

I now work from home, so if I have my keys with me they are usually in the car’s ignition.

I’ve also replaced the Pilot pen for the space pen. Sometimes I must quickly write something down, and the nearest flat surface is a wall or something else that’s not parallel to the ground. Or, I’m out in the rain and the pages are a little wet. Since the Fisher’s ink is in a pressurized capsule, it doesn’t rely on gravity and can write in any position and on almost any surface. Plus it’s smaller, more durable than the Pilot and easier to carry around.

While I love Moleskine notebooks, I replaced it with Field Notes because the Moleskines are too bulky and the hard cover makes them uncomfortable in a back pocket. Yes, there are soft cover Moleskines and they’re great, but at $9.99 for a three pack, the Filed Notes are very affordable.

A new wallet that was a gift from my kids has replaced my George Costanza wallet, which is a good thing. Finally, I’ve since swapped my original iPhone for an iPhone 4S.

I’ve also replaced some other things that you can’t see, and I think those are the most interesting:

  1. Photos of loved ones. Like countless parents before me, I kept photos of the kids in my wallet. Now my iPhone handles that job.
  2. Maps. Again, my iPhone has replaced the need for pocket-sized travel guides and maps.
  3. Phone cards. Before mobile phones were as prevalent as they are today, I kept an emergency calling card in my wallet for pay phones and long-distance calls. That’s not necessary anymore.
  4. Cash. This is the most fascinating one. I rarely carry cash. In fact, I sometimes wonder if paper money really exists anymore. When I get paid, it’s via direct deposit. I never see a check, a bill or a coin. I physically receive no money of any sort. When I purchase something, I swipe a debit card. I hand no money to the cashier and s/he hands nothing back to me other than a slip of paper.
  5. Consumer loyalty cards. Granted, I never carried many of these in the first place, but Apple’s Passbook lets me pay at Starbucks with my phone.

Keeping your computer desktop tidy

When I think of avoiding clutter, I often think of my physical surroundings: the car, the office, my kitchen and my kids’ playroom. However, my computer’s screen — or desktop — also gets pretty messy on a regular basis. What’s more, that clutter can be just as distracting as a physical mess, and hinder my willingness to sit down and work. Fortunately, I’ve got a few tricks up my sleeve. Here’s how I manage digital clutter on my virtual desktop.

Make a Mess As You Work

Much like a potter who goes home with clay on his jeans, I get messy while I work. The time you spend meeting obligations, making ends meet, and fulfilling the 9-to–5 is not the time to get fastidious about the location of every file and folder. Do your job, fling clay, and get stuff done.

At the end of my work day, I’ve typically got screenshots and other images, snippets of text, installers and more all over the desktop. This is perfectly acceptable. Leaving them there for all eternity — or worse, treating the desktop as a filing cabinet — is not.

Process As An Inbox

Most of us have several inboxes in our lives. There’s the physical in tray on your desk, but also email, voice mail, notes from school, and so on. When I sit down to go through those things, I follow the same process each time. Specifically, I ask myself what is this item, what needs to be done about it (if anything) and am I the person to do it? Sorting through the files and folders on my computer desktop requires the same process. Some stuff can be thrown away, others spawn ideas or join existing projects, while others go into long-term storage as reference material. Here’s how I separate the three types:

Trash

  1. Screenshots. At work I write, edit and take a lot of screenshots. All of these can go into the trash.
  2. Text snippets. I also paste bits of text into Apple’s Text Edit as a temporary placeholder. These also get trashed.
  3. Installers. Occasionally, I install new software, often for testing purposes. Those installers are unnecessary after a piece of software has been properly installed, and they love to pile up. Off to the trash they go.

In Progress
Occasionally I’ll come across a website that I want to return to, an article I’d like to read during down time, an idea that could spawn or improve a new project or something I’d like to share.

There are many great ways to capture web site addresses for future reference. Pinterest is a popular service, but my favorite is Pinboard. It’s definitely no-frills, and that’s what I like about it. Pinboard costs about $10 to sign up for the service, and offers a place to store your bookmarks that is aways accessible. Multiple computers, smartphones and tablets can all log into your Pinboard account and have access to your saved sites. You can organize your collection with tags, and optionally share select finds with others. Again, I use Pinboard for sites I’ll refer to often.

That collection is different than articles I’d like to read in my free time. There are several great services that offer a super “read-it-later” experience, and my favorites are Instapaper and Pocket. Both store your saved articles for later viewing on a computer, smartphone or tablet. They also strip out the images, ads and so on so that all you get is the article you’re after. Honestly, I like them both and believe you’d be happy with either.

The next category is new ideas and/or information that pertains to a project in progress. This is also where the article takes a geeky turn, though I’ll ease into it slowly.

I like to store ideas, thoughts worth follow-up, etc. in a file format called plain text. Why? My Internet buddy David Sparks explains it beautifully at his site, Mac Sparky:

Text files are easy to read on any computer running any operating system and don’t require any proprietary word processor to interpret. Even more important, text files can be read by humans. Keeping your writings in text makes them digitally immortal.

Moreover, text is internet friendly. The files are small and can jump among connected devices with poor connections like hopped up Disney faeries. It is really easy to work with your text files on any device from anywhere.

Your computer can read and create plain text files right out of the box. There’s nothing to fiddle with or buy. It just works. Plain text files also act as a nice half-way point before going into your formal project manager. So a folder full of plain text files does it for me.

That’s the non-geek version.

Ideas that require developement go into a piece of Mac software that I love called nvALT. I love nvALT because it’s insanely fast, supports keyboard shortcuts so I don’t have to move my hand to the mouse very often, saving time, and has powerful search capabilities. It syncs to my iPhone and iPad almost instantly, thanks to Dropbox and another app called Simplenote.

Storage

Finally, when it comes to long-term storage of reference material, I’m a loyalist to one product. This is information that does not require an action but might be useful in the future (a local theatre’s summer schedule, for example). This goes into Evernote.

Conclusion

First, don’t get distracted by trying to stay neat while you work. That’s counterproductive and will leave you frustrated. At the end of the day, process the stuff that has accumulated on your computer’s screen as you would any other inbox. Decided what a file is, what must be done with it (incubate, throw away, delegate or save for later), and then act accordingly by moving that item to the proper location. You’ll be glad you did.

Reclaim your junk drawer: Five steps to get it organized

A junk drawer can seem like a helpful storage space, but in reality it’s usually not. That is probably because all drawers with the “junk drawer” moniker house a lot of the stuff that doesn’t have a proper storage space or is clutter. Lots of miscellaneous things get added to the drawer, and because you can close the drawer, it’s easy to to leave it cluttered — until you start frantically searching for something that you need. Sadly, this poor experience doesn’t improve your life or home in any way.

When free of clutter and organized well, though, junk drawers can be the one of the most useful, non-junky storage areas in your home. They can transform from junk drawers into utility drawers. These drawers can hold things that are used frequently (pens, notepads) or items that you need at specific moments (picture hanging kit), and do so in a way that adds utility to your space. Don’t let your junk drawers languish. Unclutter them. Reclaim them. Turn them into areas that let you easily find what you need.

Follow these five steps to get started:

  1. Determine what’s inside your junk drawer. The first step will be to see exactly what is living in there. Sometimes, there is such a huge variety of things stored in the drawer that you may not know where to begin. So, try starting with an easy step. Remove things that are obviously trash or don’t belong. When you start with things that are easily trash, the uncluttering process will seem less daunting.
  2. Categorize your items. Dump all the non-obviously-trash items out of the drawer onto a flat surface, like a table. Next, group your items into categories (tools, office supplies, keys, etc.) by putting like objects together. If you have multiples of items, can you get rid of any duplicates? You may want to keep multiple pens, for example, but those without ink or that are dried out can be tossed in the trash.
  3. Decide what will be kept in the drawer. This is a great time to think about the things you do want to keep in the drawer. What you put inside will depend on the items you need to have available near where the drawer resides. For each of us, this can be different. There are no right or wrong items to keep, however, they should be things you need and they should be easy to access. You shouldn’t have to dig through the drawer to get what you need.
  4. Use dividers and containers. Just as you sorted like items together when you were uncluttering unnecessary objects from your drawer, you’ll want to keep these items together in your new utility drawer. Drawer organizers (like these from Rubbermaid) can work well, but you probably already have containers that you can use, like ice cube trays, resealable bags, plasticware, or even baby food jars.
  5. Don’t put anything in the uncluttered drawer that doesn’t belong. Once the drawer is organized, you’ll have to stick with the plan and not put anything into the utility drawer that doesn’t belong in there. Be ruthless. Unless there’s a section of the drawer designated for a specific item(s), don’t put clutter into your drawer. It’s also a good idea to check the drawer every couple of months to make sure that it’s still organized and that no stray things made their way inside your utility drawer.

Will having less stuff make you happier?

Can you be too neat and organized? Is it possible that you could be so good at uncluterring that your life becomes devoid of things that are meaningful to you? These are the questions that first popped into my mind as I started listening to an NPR story about Lisa Perry, a woman who decided to sell, in her words, “virtually everything I own.”

As she described her reasons for making this very big change in her life, I began to understand why she (or anyone else) might pursue this possession-less path. Her decision to let go of almost all her belongings was really about taking a journey, about embarking on a process that would allow her focus her gaze forward.

She explained:

… it’s not about getting rid of things that I don’t want or I don’t like or [that] remind me of bad things. It’s really about who do I want to be and what makes me happy, and keeping the things with me that will allow me to do that. And, right now, it’s moving forward and looking forward, rather than looking back at what I’ve done … where do I want to go and what do I want to be.

Perry began this process by identifying her primary goal: to be happy. She came to this realization and was inspired to make changes after reading two books, The Art of Happiness and The Pathfinder. The latter, in particular, helped her to see that as the number of things she accumulated increased, her life — her vitality — became smaller.

Selling everything one owns on eBay may seem a bit extreme and you certainly don’t have to follow in Perry’s footsteps. However, if you see happiness as an end goal and desire a more fulfilled life, it might be a helpful exercise to think about what specifically would make you truly happy, and to decide on the necessary action steps. You don’t need to part with items that resonate with you nor do you have to live in museum-like home. However, if having a welcoming and more uncluttered abode would contribute to your happiness, begin developing a step-by-step outline that will help you to accomplish that. Instead of randomly keeping or acquiring things, first consider their true value to you. Figure out if you’re holding on to things because you “might need them someday” or because you feel obligated to keep them because a loved one gave them to you. Be more mindful of the items that you allow to co-exist with you. Consider specific actions you can take that will foster happy feelings (and banish negative ones) in your day-to-day life, no matter how small. Perhaps most importantly, figure out why you feel the need to make changes. Doing this will give your plan purpose and help you to stick with it.

That’s not to say that you can’t make adjustments along the way. If you start to notice that your goals need a bit of fine tuning, take the time to polish them. It’s also likely that you will need to seek out others who can help you bring your plan to life, so don’t be shy about asking for help. And, as I mentioned before, as you go through any uncluttering project, stay focused on the reasons you want to make changes in the first place.

Ask Unclutterer: Products for processing paper

A few weeks ago, a reader asked me if I still stand by the information in our extremely popular 2007 series “Scanning documents to reduce paper clutter” and the three other articles in the paper-begone series. Basically, he wanted to know if I would write the series the same way now that I did then.

Would the fundamental premise of the articles be the same today as it was then? Yes. Would a few specific details change? Definitely.

The most obvious thing I would change is the equipment used to scan and shred the papers we don’t need to retain in physical form. I still love the Fujitsu ScanSnap, but the technology referenced in the article is now about six years old. The ScanSnap line has come a long way since then. Also, I’ve come to adore shredders on wheels because they can be moved around a room to wherever you need them.

The latest model in the ScanSnap desktop line is the iX500 and it’s an impressive machine. I’ve been test driving one the past two weeks (thank you, ScanSnap!) and it’s amazing — it doesn’t require a desktop computer to launch, it will scan straight to a mobile device or an online storage location over Wifi (so I can save straight to Dropbox), it’s noticeably faster than the S1500M model we own, and I’ve been able to customize it to send scans automatically to whatever program I want, so items like photographs now import straight into iPhoto. I won’t upgrade permanently from the S1500M we already have, but if we didn’t have a scanner I would save up for this one. If you’re in the market for one, the list price is $495. They’re expensive, but they’re really nice. (Full iX500 product details.)

As far as shredders go, I’d recommend the Fellowes PowerShred 79Ci now. The thing is a monster at chewing up stuff you want to shred. And, as I referenced earlier, it’s on wheels, which makes it convenient to use and store. It’s also expensive, but the thing will last you a decade or more if you treat it well. Our PowerShred PS-77Cs is still rocking after seven years of service, and we use it daily. Unlike less expensive shredders, the PowerShred line is built to last.

The list of things to shred and not to shred is still accurate, though a lot of people greatly dislike my advice to destroy old passports. I probably should have written more clearly about waiting to shred the old passport until after you get a new one. Submitting your old one does speed up the renewal process. However, once you get the old one back, if you don’t need it for any legal reason, it’s safe to shred (just be sure to pop out the RFID chip first). My last passport, though used many times, didn’t even have a single stamp in it because so many countries have stopped stamping and my old visa had to be relinquished when I left the country that required me to have the visa. If you want to keep old passports, especially if they have stamps in them, do it but please keep it in a safe or safe-deposit box so it doesn’t end up in the hands of identity thieves.

I still use DevonThink to organize my digital documents and FreedomFiler for my paper files (though, I’ve added a ridiculous number of my own files to the FreedomFiler system in the past six years that resemble what I discuss in my book). Those two products have suited me well all this time.

Even with all of these products and systems, paper continues to be something we have to deal with daily in our home. We’ve unsubscribed from as much junk mail as possible, yet we still get some from businesses and services we use. The shredder, trash can, and recycling bin by our main entrance are essential in dealing with the junk immediately and not letting it come deep inside the house. But, the stuff we let in voluntarily — the bank statements, the receipts, the pay stubs, the contracts — still feels overwhelming at times. We’ve gone so far as to unsubscribe from all print magazines and now subscribe to these publications digitally over Zinio. The only way we’ve been able to keep from being overwhelmed by paper is to clear our desks each day as part of our end-of-day work routines. All papers filed, junk shred, receipts reconciled, documents scanned, etc. It only takes five or ten minutes, but it’s still a chore. I’m looking forward to the day when I only have to spend five or ten minutes a week (or less) dealing with paper clutter.

Stop holiday card clutter in its tracks

What do you do with your cards after the holidays have passed? Do you keep them on display for a while or put them away in a box? Do you throw them out? When the holiday season comes to a close, you may find it difficult to part with them. If you’re not quite ready to let them go or not sure what to do with them, they can easily clutter your space. Instead of them taking over the top of your dining table or whatever surface they’ve landed on, consider using them in different ways so that you an extend their usefulness.

Make digital copies

Digitizing your cards may be a nice option especially since you can use your favorites as desktop screen savers. You can scan them and continue to enjoy them long after the season has ended and not have to worry about them cluttering your home or office. And, when you decide that you no longer want them, uncluttering will just be a few, quick clicks away.

A fun idea I’ve seen linked to numerous times on Pinterest is to snap pictures of family photo cards you receive with your smart phone and link the images to your contacts so the appropriate picture appears when you get a call. Ashley Ann Photography has a tutorial on her site for how to do this project yourself (the tutorial begins halfway down the page, so you’ll need to scroll).

Donate your greeting cards

Did you know that you can donate new and used holiday cards? The St. Jude’s Ranch for Children accepts used all-occasion greeting cards year-round. Children who participate in St. Jude’s Kids’ Corp. program use your old cards to create new cards for sale. Also check with your local community and senior centers, schools, and after-school programs to find out if they have a need for writing and craft projects.

Make something new

Used holiday cards can be transformed into holiday postcards. Whether you’re sending your usual holiday greetings or participating in Holiday Mail for Heroes, you can host card-making parties and involve friends and family in the card-making process.

Last week, I mentioned that you can make something fun with orphaned socks. Well, you can do the same with holiday cards, too. Indulge your creative side and make gift tags (Instructables has a tutorial), paper ornaments, placemats, magnets (using photo cards), book marks, or game and puzzle pieces.

Frame your favorites

Why not frame the cards you love? Pick a spot on a table or wall to display your favorite ones. If you have several cards that are meaningful to you, consider using hinged frames (like the Easy Change Artwork Frame) so that you can easily rotate the cards you’d liked to display. Depending on the size of the frame you use, you may also be able to include multiple cards at one time.

No matter how you choose to repurpose the holiday cards you’ve received, remember that you can be creative with ways to get more enjoyment from them. Just be sure that they don’t end up cluttering your home or office. And, don’t forget, you can always trash and/or recycle them.

Ways to put lonely socks to good (uncluttered) use

The Bata Shoe Museum in Toronto, Canada, is a self-described “unique and charming” museum that displays well over 10,000 shoes and hosts podcasts about “one fantastic shoe” every month. And, shoes aren’t the only thing on display. The museum also held an art exhibit featuring socks and the history of their humble beginnings.

The curious thing about socks is that they often lose their mates and become a source of clutter. Unlike those featured at the Bata, the ones in your home can end up under your bed and in between the sofa cushions. They are also often relegated to the dark recesses of shopping bags when Justin Case comes for a visit.

“I’ll keep this sock, just in case its mate turns up.”

Does that sound familiar? When we misplace an item from a matching set, we tend to hang on to them for a while, especially when the items cannot be used without each other (such as a gadget and its power cord). We probably keep lonely socks because we still see some value in them, even though they are now orphaned and we may not want them anymore. Fortunately, there are uncluttered alternatives to keeping mateless socks:

  1. Wear them! This may not seem as obvious (or maybe it’s so obvious that it’s often overlooked), but you can still wear them. You can make a pair using another lonely sock and wear them around the house.
  2. Use them as padding in your packages. Clean socks can be used inside packages to protect the items that you’re mailing. This is a good way to keep the contents of your package safe, but you should let the recipient know that the socks can be discarded.
  3. Use them to protect holiday decorations. You can store some of your holiday decorations (like ornaments) inside the socks before packing them away.
  4. Dust with them. I’m not a fan of dusting, so this is my least favorite option, but you can add mateless socks to your cleaning supplies. Just be sure to keep a specific number of sock dusters so that you don’t end up cramming more and more of them in with your supplies.
  5. Use them in craft projects. This is perhaps the most fun way to repurpose socks (especially for children). From sock puppets to doll accessories, get creative and make something new. Looking for inspiration? Check out the book The Lonely Sock Club: One Sock, Tons of Cool Projects!.
  6. Make a pet toy. If you have pets, you can make a cool tug-of-war toy for them. Have a look at this tutorial from Real Simple on how to make one. If you have a cat, you can stuff a little cat nip inside it, close it up, and watch your cat go nuts. You may also want to check with your local animal shelter to find out if they have a need for them.

The next time you end up with orphaned socks, be sure that they don’t overstay their welcome and turn into another source of clutter. You can use one of the suggestions above to breathe new life into them, but remember that it really is okay to let them go if you have no use for them.

Effective inbox management

Inboxes of all kinds can easily grow out of control without much effort. Recently, I admitted to myself I had entirely too many, and processing each one had become a time-consuming hassle. I’d forget to look in one or the other and miss something important. Now, I’ve pared them down to a few essential inboxes. Here’s what I’m using for inboxes, as well as a few tips on effective inbox management and decisions to consider when setting up inboxes of your own.

What’s an “inbox?”

An inbox is a productivity middle man that sit between your receipt of stuff — email, phone calls, crumpled papers at the bottom of a school backpack — and your neatly organized to-do list. It’s anything you might use to capture all your stuff that needs to be processed.

I define stuff per David Allen’s definition: stuff is anything that isn’t where it should be. Tickets for the play you intend to see over the weekend, the water bill, a permission slip from your child’s school. All of this stuff must be processed (figure out what it is and what must be done, if anything).

Inboxes I use

  1. Notebook and pen. I’ve got a notebook and a pen with me at all times. It’s my favorite way to capture ideas that pop into my head (“I must remember to schedule an oil change for the van”) as well as things that come up in conversations. I love my notebook for several reasons. First, it never goes down or has a dead battery. It never crashes or loses data. My notebook never needs an update and every pen I own is compatible with it. Water won’t kill it (I fished one out of the Delaware river that I’m still using). Plus, they’re cheap and easy to recycle.

    I use a Fisher Space Pen because it’s light, durable, small and can write in any position, for those times you have to prop your paper up against a wall to get a flat surface. Ordinary pens would succumb to gravity and stop working in this situation. Not the Fisher.

    As for notebooks, anything small enough to fit in your pocket will do. I’m partial to Field Notes Brand because they’re durable and fairly inexpensive.

  2. Email inboxes. I’ve written about email before, so I won’t go into great detail in this post. But, I will say this: don’t go silly with rules, folders, colors, tagging and so on. I have two folders (Review and VIP) and a few rules — most of which kill spam. The goal is efficiency. Create just what you need to process your email stuff effectively, and nothing else.
  3. Physical inbox. Visit any office supply store in your town and pick up a tray or two. I have a cheap-o faux leather box from Staples. I use it most often with index cards.

    I keep a stack of plain, 3×5 index cards on my desk. When some stuff shows up, I write it down on an index card, throw it into the inbox and resume what I was doing. The interruption is minimal and my brain trusts that I’ll give the info on that card the attention it deserves later in the day, so I can continue to focus on the task at hand.

Pro Tips

Here are a few ideas for even more effective inbox management.

  1. Don’t share an inbox with your spouse … or your housemate, roommate, or whomever you live with if you live with someone. My wife and I made this change a few years ago and it’s benefited our productivity and our marriage. We have our own conflicting ways of dealing with stuff, and the differences led to tension. Plus, my stuff no longer gets lost among hers and vice-versa.
  2. Designate a time to process your inboxes. I like to do this at the end of the day. I know that my energy level will be low, and the act of flipping through index cards, email messages and notebook scribblings isn’t very taxing. I’m not completing tasks at this point, just reviewing the day’s crop of stuff and deciding what must be done about it.
  3. Buy tools you enjoy using. If you have a new toy, you’re likely to play with it. Honestly, I use Field Notes Brand notebooks because I like the look of them. They’re cute and harken back to the old-time agricultural notebooks that farmers used to keep tabs on their crops, livestock, etc. I like that about them, and therefore, I want to use them. Find an inbox tray you like. Identify a favorite pen. Heck, I even occasionally splurge on fancy-pants index cards when I’m feeling flush.
  4. Ditch the guilt! No one gets clean and clear every day. It’s perfectly okay to go to bed before you’ve placed every little item into a project or list, just try not to make it an every day habit.

A Few Decisions To Make

There are a few things to consider when creating inboxes. First, will you separate professional vs. personal stuff? I’m more than happy to let a note from my kid’s school mingle with to-do’s for work. If that bothers you, consider a way to keep them separate.

It’s also important to consider if you should go electronic. Apps, computers, and mobile devices are appealing and fun, but not always the best solution if you don’t consistently use them. Often a low-tech solution like pen and paper is just the ticket. Also, getting stuff off an electronic inbox can sometimes be a hassle.

How to hold on to sentimental items and let go of clutter

In Gretchen Rubin’s recent article in The New York Times, she said:

While we’re constantly bombarded with messages of “More!” and “Buy now!” we’re also offered the tantalizing promise “You’ll be happier with less!”

She goes on to say that achieving simplicity is not as cut and dry as it may seem. Like some relationships, it can be complex. And, it can get especially complicated when you have to let go of things that have high sentimental value.

Rubin also suggests that we need to keep things that are precious to us. Striking the right balance between how much to keep and how much to let go of can be difficult if everything is (seemingly) dear to you. How do you decide what stays and what goes? It’s this part of the process that can stop you in your tracks. And, there are times when you’re forced to make a decision, like when you’re moving to a smaller home (or office) or if you have to sort through the belongings of a loved one who has passed away.

Though you may not know what to do with everything, there are some steps you can take until the time comes for you make a decision.

  1. Pack them away. When your emotions get the best of you, it can be difficult to make a final decision about what to purge and what to keep. You might find yourself changing your mind many times. This can add to any stress you’re feeling, so you may want to put those items in a box to review later. But, before you put that box in the garage or the top shelf in your closet, add a label with the contents and an expiration date. Choose a reasonable timeframe that you think will give you enough time to figure out what to do. And, if/when that time comes and you still haven’t decided what to do with them, give yourself permission to let go of the box and everything in it.
  2. Capture the moment. One of the reasons we hold on to documents is because we want the information that on them. The same can be true for sentimental objects. Sometimes, it’s not the object but the memory that the item conjures up for us that we wish to save. Consider writing down (or recording) your memories and feelings associated with those cherished items. A paper journal may be all you need, but you also can create a digital scrapbook (and include photographs) or start a blog to capture all your memories. This way, you’re still honoring the objects without having to keep them.
  3. Pick the best. As you try to decide what to keep, select the things that mean the most to you or that are in the best condition. Then, put them in a spot in your home or office that you can easily see them. Over time, your feelings for them might wane. By then, you will have enjoyed them and be ready to pass them on.

Making a decision about an emotionally charged object is a tricky endeavor. But, you don’t have to have all the answers right away or to decide what to do immediately. And, if you keep in mind that you likely can’t keep everything, you’ll be able to part with items that are truly clutter and keep the ones that mean the most to you.
